The challenge: data everywhere, answers too hard to find

eRecruiter, a recruitment management platform in Poland and part of Grupa Pracuj, used marketing automation alongside Salesforce and other tools. The team had plenty of data and lead sources, but bringing that information together was difficult.

The previous platform limited what the team could do. Reporting was cumbersome, and the interview describes manual A/B testing as work that would take “ages.” The migration needed to change those everyday constraints as well as the software.

Redesigning the process during the migration

The work combined the move from Pardot to HubSpot Marketing Hub Enterprise with decisions about how marketing should operate. Salesforce remained the CRM. Lead capture, attribution, lifecycle stages and the handover to sales were rebuilt around a shared process.

Forms became simpler to maintain

Implementation records show a reduction from 454 forms to 85, with 110 demo forms consolidated into 4. Forms were retained where a different intent, set of fields or sales process justified them. Shared forms capture channel, campaign and placement, reducing the need for a separate form for every location.

Marketing and sales gained a clearer handover

HubSpot lifecycle stages and Salesforce statuses were aligned. Inclusion lists control contact synchronisation; qualified demo requests receive automatic routing and task creation. Sync-error notifications and a dashboard make integration failures visible.

Reporting became more useful

A source framework distinguishes how a contact was created, its original traffic source and its latest traffic source. Marketing can report lead-to-SQL conversion by source. ClickMeeting and LearnWorlds integrations connect webinar attendance and course sign-ups, while reusable campaign assets support repeatable launches.
