Unified
FINANCE DATA
Real-time
INVOICE VISIBILITY
Aligned
SALES & FINANCE OPS
Situation
Eastward Partners managed accounting in QuickBooks, but none of that financial data was accessible to Sales or Operations inside HubSpot.
Problem
Sales couldn’t see unpaid invoices when planning renewals or upsells, Finance re-entered data manually, and invoicing was slow and error-prone due to disconnected systems
Solution
We integrated QuickBooks with HubSpot, enabled real-time invoice visibility, synced deals and customers to QuickBooks automatically, and built monthly reports for billing and forecasting.
Benefit
Finance now saves hours by not re-entering data between QuickBooks and HubSpot, and has a clear, up-to-date view of cash flow and unpaid invoices for renewal and upsell decisions.
The Situation
Eastward Partners is a retained executive-search and human-capital advisory firm in New York. They serve private equity, corporate finance, and professional-services clients.
The company relied on QuickBooks for accounting while Sales and CS worked entirely in HubSpot. This created operational friction and prevented GTM teams from making financially informed decisions.
The Problem
1) Siloed financial data
Accounting lived in QuickBooks with no visibility for Sales or CS, so teams didn’t know if customers had unpaid invoices before renewal conversations.
2) Manual, slow invoicing
Finance had to re-enter deal and customer information from HubSpot into QuickBooks manually, slowing operations and increasing errors.
3) No forecasting visibility
Ops had no clear idea of expected success fees or invoices required each month.
4) Weak cross-team alignment
Sales, CS, and Finance operated with different data sets—creating unnecessary friction.
Our Solution
1) QuickBooks ↔ HubSpot Integration
We connected both systems, enabling automatic sync of:
-
Customers
-
Deals
-
Invoice status (sent, paid, unpaid)
Sales and CS now see invoice information directly inside HubSpot.
2) Automatic invoice visibility in HubSpot
We surfaced QuickBooks data in HubSpot so Sales can immediately see:
-
Which customers have outstanding invoices
-
What has been billed
-
What remains unpaid
This supports smarter renewal and upsell conversations.
3) Monthly billing & success-fee reporting
We built reports showing:
-
Which invoices need to be created each month
-
Expected success fees per client per month
-
Open, overdue, and paid invoices
Finance finally has proactive visibility instead of reactive administration.
Business Impact
Faster finance ops — eliminating double data entry speeds up invoice creation and reduces admin work.
Better collections — Sales and CS see unpaid invoices and act earlier, improving follow-up and cash flow.
Clear cash-flow visibility — monthly reports show upcoming success fees and required invoices.
